Challenges Faced by the Client

Running email campaigns automatically helps marketing teams save time and stay consistent with customer communication. However, many companies find it overwhelming to quickly write content relevant to the industry, match their brand style, and speak to the right audience. Our client had similar problems: 

  • Marketing teams had to manually create new email content for every campaign, which slowed execution, especially if multiple iterations were required. 
  • Generating industry-specific, targeted content required extensive market research to understand customers’ pain points accurately.  
  • Timely submission of email content requests was often difficult due to the ad hoc nature of campaigns across geographies such as India, APAC, UAE, and the USA. 

Solutions

To help the client simplify their email marketing process, we built a Marketing Assistant Bot using Copilot as follows: 

  • The chatbot works on a predefined flow, which means every output follows a consistent format aligned with the client’s industry standards, target audience expectations, and common customer pain points. This reduces the back-and-forth usually needed to fine-tune messaging. 
  • A key strength of the chatbot lies in its custom Knowledge Base (KB). It pulls content only from approved internal collaterals (marketing assets) and a verified external source that the client specified for added credibility. This ensures the emails are not just relevant but also trustworthy, with every statement backed by familiar, high-quality sources. 
  • Since the brand guideline documents are part of the KB, the content automatically follows the client’s tone, style, and preferred vocabulary. Teams no longer need to edit for brand alignment manually – it is built into the output by default. 
  • The bot includes built-in logic to directly pull relevant data from case studies (like statistics, dates, or facts) into the email content. This means the marketing team doesn’t have to do separate research every time. It also allows them to paste specific case studies into the bot to customize the content for different services or industries quickly.
