Challenges Faced by the Client
Our client faced several key challenges in managing their asset portfolio effectively:
- Integration with Legacy Systems: Legacy systems with disparate data formats and structures posed challenges in seamlessly integrating and consolidating asset information.
- Geographical Distribution: Managing assets spread across diverse locations necessitated robust communication and synchronization capabilities to maintain data consistency.
- Manual Verification Errors: The reliance on manual asset verification processes, where agents physically recorded asset IDs and details during site visits, introduced the risk of errors and discrepancies in data collection.
- Incomplete Verification: The need for cross-verification of asset information during on-site visits often resulted in missed details or inconsistencies in the data.
Solutions
To address these challenges, UB Technology Innovations implemented an innovative Asset Management Approval System that leverages Microsoft Power Apps and Power Automate.
Asset Verification System
- Power Apps Integration: A custom-built Power Apps was developed for agents visiting asset locations. This app allowed agents to instantly scan Bar codes on assets to retrieve and update information.
- Internal Seed Application Integration: The Power Apps seamlessly integrated with the Client’s internal seed application. This integration ensured that all asset information collected by agents was verified and synced in real-time with the company’s central database.
- Approval Workflow: Once an agent entered new asset information into the Power App, it was automatically sent for approval through predefined workflows. This streamlined the approval process and ensured accountability.
- Automation with Power Automate: Power Automate bots were deployed to automate data synchronization between the Power Apps and the internal seed application. This reduced manual data entry and minimized errors.
