A case on how our analytics solution helped an education-focused NGO track student payments and dues across campuses with one centralized dashboard. 

The Client

The client is an NGO dedicated to education and community development across East Africa. With schools operating in multiple countries, their mission focuses on providing quality education and long-term support to underserved communities. Their programs combine academics, care services, and spiritual development for students from early grades through secondary school. Over the years, they have scaled their model through consistent, community-led growth. 

Challenges Faced by the Client

Schools with increasing student populations need to monitor fee payments. This is a daily operational need that directly impacts revenue generation. From managing dues to following up on missed payments, schools require accurate and timely information to stay on top of finances, especially when dealing with multiple campuses. In that context, the client needed a more reliable way to track student fees across classes and locations. 

The key challenges observed were: 

  • No Unified View of Paid and Pending Fees: The team couldn’t easily monitor how much fee had been collected versus what remained due, especially across different schools and academic years. 
  • Difficult to Track by Center or Class Level: Without filters, they could not isolate trends or overdue payments based on center, grade level, or student category. 
  • No Visual Indicators for Fee Performance: Fee types such as tuition, admission, and examination charges were not broken down visually, making it difficult to identify which areas were underperforming. 
  • Delayed Insights on Student Dues: There was a lag in identifying which students still owed fees, delaying follow-ups and impacting financial forecasting. 

Solutions

To bring clarity and control to their fee tracking process, a dedicated analytics solution was implemented using Microsoft Power BI with the following key features: 

  • Real-Time Visualization of Fee Data: A live dashboard was created to show exactly how much has been paid versus what remains due, updated automatically as new data comes in. 
  • Filters by Center, Class, and Academic Year: Users can now view fee data by school location, grade level (from primary to 12th), and year, allowing focused reviews and better planning. 
  • Breakdown by Fee Types: All contributions, such as tuition, admission, and examination fees, are separated and displayed visually, helping the team track where collections are strong or lagging. 
  • Visualization of Payment Frequency Type: The students’ statutory fee details are displayed as bar charts for monthly, one-time, termly, and yearly data.   
  • Student-Level Tracking with Details: The system allows school administrators to view individual student records with payment dates, amounts, and balances, making it easier to follow up with specific families when needed. 
  • Year-on-Year Comparison Tools: The dashboard includes a view of fee performance across academic years, so the organization can compare how collection rates are improving or declining over time. 
  • Multi-campus Scalability: While implemented primarily for the client’s Kenyan school, the solution structure supports multi-campus requirements, including Liberia, making it adaptable for further expansion.

The fee analytics solution brought several practical benefits that helped the academic teams and school admins manage fee operations more effectively across locations: 

  • Centralized Fee Reporting for the Entire Organization: All fee data from both locations are now available from one unified view, reducing the need for manual consolidation and back-and-forth reporting. 
  • Supports Data-Driven Conversations with Parents: With up-to-date fee status available, staff can confidently communicate with families about dues, balances, or overpayments. 
  • Better Fee Collection Oversight: School heads and finance teams can now track how much has been paid and what remains due in real time, helping them take timely follow-ups. 
  • Easier Detection of Payment Irregularities: The solution makes it simple to spot inconsistencies like duplicate payments, unrecorded dues, or excess collections before they escalate. 
  • Quick Access to Paid, Due, and Excess Views: Users can switch between tabs to view fully paid fees, pending dues, or excess payments, all in one place, removing the need for multiple reports or manual sorting. 

Conclusion

By turning fee data into live, interactive dashboards, the organization now spends less time compiling reports and more time making informed decisions. The ability to track collections by class, center, and year has brought much-needed clarity to school operations.
