The Client

The client is a well-established retail business focused on gifting and handcrafted lifestyle products. With a curated collection of over 5000 unique items, including premium gifts, utility pieces, return gifts, and corporate gifting solutions, the brand has built a strong reputation for quality, design, and customization. Its retail presence spans multiple cities, with growing national reach. By combining tradition with innovation, the company continues to empower artisan communities while offering customers a meaningful gifting experience rooted in heritage and authenticity. 

Challenges Faced by the Client

The client had been relying on a third-party Standard Operating Procedure (SOP) management tool to manage their daily tasks across multiple retail branches. While the platform served its purpose initially, several challenges began to surface as their operations grew: 

  • High Ongoing Costs and Limited Control: The platform came with recurring subscription and maintenance costs. More importantly, the third-party provider stored and managed all task data, which limited the client’s control over their own operational data. 
  • Branch-Wise Tracking Was Disconnected: Although the business operated in 6 locations, there was no centralized way to track SOPs, tasks, or approvals across all branches and warehouses in one place. 
  • Lack of Insight into Task Status and SOP Effectiveness: There was no way to monitor the tasks’ performance, delays, or completion trends. This left the leadership team with limited visibility into ground-level execution. 
  • Tight Timeline for Deployment: The client required the new application to be developed and rolled out within a short timeframe, without compromising on functionality or usability. 

Solutions

Understanding the client’s operational pain points, a comprehensive SOP management system was developed using Microsoft Power Platform to replicate, improve, and centralize their task workflows. The solution was structured as follows: 

  • Effortless Transition with Better UX: A low-code/no-code app was built using Power Apps (Canvas) to mirror the interface and functionality of the client’s previous platform, ensuring minimal disruption and eliminating the need for retraining. 
  • Dynamic SOP-Driven Task Forms: Tasks were tied to SOPs, where selecting a specific SOP would auto-populate relevant fields. This created a standardized and guided process for completing routine activities. 
  • Role-Based Access for Admins and Users: Admins could create SOPs, configure approval chains, and assign tasks to individuals or groups via web or mobile. App users had restricted access, limited to completing assigned tasks and creating one-time tasks only through mobile. 
  • Support for One-Time and Scheduled Tasks: The app supported 2 task types: one-time tasks and scheduled tasks. Scheduled tasks can be configured to recur every day, week, or month, based on operational needs. 
  • Multi-Level Approvals and Revisions: Tasks could be routed through customized approval workflows. If revisions were required, approvers could trigger a redo request while maintaining visibility into version history.   
  • KPI and Analytics Dashboard: Task performance metrics were visualized through an analytics section featuring breakdowns by asset, group, response time, overdue tasks, and overall completion rates. 
  • Document Wallet for License Management: A dedicated module was added for uploading and tracking key documents like GST certificates and licenses, with automated email alerts for renewal deadlines. 
  • Internal Broadcast Functionality: A broadcast section was integrated for sharing company-wide updates and policy changes. Notifications were pushed to users’ devices and remained active until the specified expiry date.

By transitioning to a fully customized Power Platform-based application, the client experienced significant operational and strategic advantages: 

  • Full Control Over System and Data: The organization moved away from vendor lock-in and now fully owns its SOP platform and all associated data, improving security and flexibility. 
  • Task Scheduler and Auto-Assignment: Tasks recurring on daily, weekly, or monthly intervals were auto-scheduled with Power Automate to send push notifications without manual follow-ups. 
  • No Learning Curve for Staff: The interface mirrored the earlier platform, allowing teams to switch over with zero retraining and minimal disruption to daily operations. 
  • Centralized Tracking Across Locations: All tasks from the client’s 6 stores and warehouses were managed within a single interface, allowing real-time oversight across locations. 
  • SOP-Based Task Consistency: Dynamic forms driven by SOPs ensured that staff followed structured processes, reducing errors and bringing consistency across all store locations. 
  • Mobile-First Access: Store staff could submit images, videos, audio clips, and documents directly from their mobile devices, with real-time geo-tags and timestamps improving accountability.
